Custom admin panel vs off-the-shelf CRM

A CRM is a product with someone else’s objects: contacts, deals, stages. A custom admin panel is software whose objects are yours: cabinet lines, room types, appointment rules, content fields that match public pages. The expensive mistake is buying the first when you already live in the second, then exporting spreadsheets every Friday.

Start from the Friday workaround

If the team already keeps the truth in a sheet, a chat, or a side calendar, the licensed CRM is not the system of record. Custom work is justified when those workarounds are the real process.

If people faithfully fill a standard pipeline and the reports are used in meetings, keep the CRM. Replacing a tool the team actually uses is a different project from replacing one they avoid.

Objects, not features

List the nouns: quote packet, service duration, staff roster, article draft, dealer location. Then list the verbs: approve, publish, assign, cancel, export. Screens follow those lists.

A feature catalog (“dashboards, automation, AI”) delays that work. METEK scopes panels from records and actions. Integrations with the public site, WhatsApp, or email are written down so the panel is not an island.

The public site often belongs in the same plan

A quote form that does not create the record sales opens is a broken path. When both surfaces are in the engagement, we design the fields together.

Ownership after launch

Routine edits should sit with your team. New objects and integrations remain development. Write that split in the scope. An implied “we will always be there” is not a support policy.

Ask who can create users, who can delete a record, and where backups live. Those answers belong next to the screen designs.

What to send before an estimate

A screenshot of the current sheet or CRM view, the jobs done each day, and what must not be lost. Name what is out of scope. Accounting and warehouse rebuilds in the same sprint usually delay the panel that would have helped this quarter.
